Dynamic Lists, Visual Refresh & Permissions

Powerful Innovations

Dynamic Marketing Lists - Always-Current Audiences

Build rule-based lists that automatically stay in sync with your contact data. Every select/multi-select Marketing Preference now generates its own Preference List automatically — no manual maintenance needed.

Tips & Tricks:

  • Navigate to Marketing Lists → New List → Dynamic. Set your filters (practice area, region, preferences, etc.) and the list will self-maintain.

  • Don't try to add/remove individual contacts — instead update the contact's data or adjust the filter rules. The list follows the rules, not manual edits.

  • Check Preference Lists: every opted-in preference option now has an auto-linked list. These feed directly into EMS campaigns.

  • When scheduling a campaign using a Dynamic List, Nexl checks the rules at send time — so the audience is always fresh, not stale from when you drafted it.

  • Pair Dynamic Lists with the new Preference Manager (Admin) to create end-to-end, self-service subscription management.

Business Development

  • Build a Dynamic List filtered by practice area + engagement score — your warmest BD targets, always current without manual upkeep.

  • When scheduling a campaign to a Dynamic List, Nexl checks the rules at send time — so you're always reaching the right people, not a stale snapshot.

Marketing

  • Navigate to Marketing Lists → New List → Dynamic. Set filters (region, preferences, practice area) and the list self-maintains as contact data changes.

  • Don't manually add/remove contacts — update the contact's data or adjust the filter rules instead. The list follows the rules, not manual edits.

  • Check Preference Lists: every opted-in preference option now has an auto-linked list feeding directly into EMS campaigns.

  • Pair Dynamic Lists with the new Preference Manager for end-to-end, self-service subscription management.

Admin

  • Dynamic Lists are in beta — enable for your power users first and gather feedback before firm-wide rollout.

  • Each Marketing Preference option automatically creates a Preference List — check Marketing Lists after setup to confirm they've been created correctly.

Quality of Life

Nexl Visual Refresh

Updated logo, refreshed colours, typography and icons across the web app, login screen, and system emails. Same navigation just a sharper look.

Tips & Tricks:

  • Our look has been refreshed but nothing has moved to match our updated branding.

  • Recommendation to update any screenshots, and videos, your may in your internal training materials or employee onboarding decks.

Lawyers

  • Nothing has moved — your usual workflows are exactly where they were. The interface just looks cleaner.

Business Development

  • Same Nexl, sharper design. No relearning needed — all your BD workflows are in exactly the same place.

Marketing

  • Update screenshots or videos used in campaign announcements, onboarding decks, or training sessions to reflect the new look.

  • System email templates have also been refreshed — check any branded email previews you use in demos or client comms.

Admin

  • Update screenshots in any internal admin guides, user manuals, or onboarding materials you maintain.

  • Send a brief user comms note: same product, refreshed look — no action required from users.

Support Staff

  • If colleagues ask about the new look, reassure them: all features and navigation are in exactly the same place.

Marketing Preference Manager

Admins can now create and manage marketing preference fields directly in Admin Settings. No support ticket needed.

Each option auto-creates a linked Dynamic Preference List!

Tips & Tricks:

  • Go to Admin → Marketing Preferences to add new subscription topics (e.g. "ESG Insights", "M&A Alerts").

  • Use colour-coding on options to make the preference UI more scannable and firm relevant.

  • Archive preferences you're retiring — they disappear from the UI but data is preserved.

Marketing

  • Work with your Admin to add new subscription topics (e.g. "ESG Insights", "M&A Alerts") — no support ticket, done in minutes.

  • Use colour-coding on preference options to make the subscription UI more scannable and firm relevant.

  • Archive preferences you're retiring — they disappear from the UI but data is preserved for historical reporting.

Admin

  • Go to Admin → Marketing Preferences to add, edit, reorder and archive preference fields entirely self-service.

  • Each select/multi-select option automatically creates a linked Preference List — confirm in Marketing Lists after adding options.

  • Archiving stops the linked list from auto-updating — communicate this to your marketing team before archiving anything.

Email Campaign Permissions & Locking

Four permission tiers for campaigns — create, edit, lock rows, and lock modules. Template-level locks (e.g. legal footers) carry through into every new campaign.

Tips & Tricks:

  • Lock your legal/compliance footer at the template level (it will be locked in every campaign automatically).

  • Give editors "edit modules" permission but lock rows to prevent layout changes while allowing content updates.

  • Use this feature to empower regional teams to create campaigns while keeping brand guardrails in place.

Marketing

  • Lock your legal/compliance footer at the template level — it arrives pre-locked in every campaign and can't be accidentally edited.

  • Give regional editors "edit modules" permission while locking rows — they can update content without breaking layout.

  • Use template locking to empower regional teams to create campaigns while maintaining brand guardrails.

Admin

  • Review the four permission tiers in Admin → Campaign Permissions before the next campaign cycle.

  • Limit locking rights to senior Marketing users to prevent accidental unlocking of compliance content.

Phone Number Types

Label every phone number (Mobile, Direct, Fax, etc.) and call directly from Nexl via Browser or MS Teams. Consistent across web, Outlook add-in, import and export.

Tips & Tricks:

  • When importing contacts, include a "Phone Type" column in your CSV — it will be mapped automatically.

  • If Teams is enabled at your firm, look for the call icon next to phone numbers to dial directly from a contact record.

  • Audit existing contacts by exporting and checking which numbers have blank types — then bulk-update.

Lawyers

  • Contact numbers are now labelled — look for "Mobile" or "Direct" to reach the right number first time before a client call.

  • If your firm has MS Teams enabled, click the call icon next to any number to dial directly without leaving Nexl.

Business Development

  • Call prospects directly from a contact record — one less context switch when you're in outreach mode.

  • Check that key contacts have labelled mobile/direct numbers — unlabelled numbers can slow you down.

Support Staff

  • When adding or updating contacts, always assign a phone type label — it helps lawyers and BD quickly identify the right number.

  • Export All Contacts, filter for blank phone type columns, and bulk-update to clean up unlabelled numbers.

Admin

  • When importing contact lists, include a "Phone Type" column in your CSV — it maps automatically.

  • Existing enriched numbers will have blank types — plan a clean-up sprint with your support team to label them.

List Mode Improvements — Board, Calendar & Timeline Views

Board, Calendar and Timeline views are now available in our Large List mode. Filtering, searching, and more bulk actions added across all views, including editing custom fields directly from All Contacts and All Opportunities.

Tips & Tricks:

  • Switch to Board view on Opportunities to see a visual pipeline stage overview with live counts per stage.

  • Use Timeline view on Key Activities to visualise your BD calendar across the team.

  • Use the new multiselect field bulk action: select contacts → Edit Custom Field → choose Add / Replace / Remove / Clear All depending on your use case.

  • Admin/Manager roles get the new bulk edit actions by default; we recommend that you review permissions before rolling out to wider teams.

Business Development

  • Switch to Board view on Opportunities for a visual pipeline overview with live counts per stage — great for weekly pipeline reviews.

  • Use Timeline view on Key Activities to plan and visualise your BD calendar across the team.

  • Use Calendar view on Key Activities to check upcoming client touchpoints before your morning stand-up.

Marketing

  • Use Calendar view on Key Activities to align BD touchpoints with upcoming campaign sends — avoid double-hitting contacts.

  • Use the multiselect bulk action to tag large contact batches with campaign preferences: select → Edit Custom Field → Add.

Admin

  • Admin and Manager roles get the new bulk edit actions by default — review role permissions before wider rollout.

  • Use multiselect field update options (Add / Replace / Remove / Clear All) for clean-up operations on custom field data at scale.

Support Staff

  • Use Board view on Key Activities lists to quickly see what's outstanding vs. completed across the team without opening individual records.

  • The bulk "Edit Custom Field" action means you can update a field across hundreds of contacts in one step — no more record-by-record edits.

Opportunities Field Management

Self-service control over Opportunity custom fields, statuses, field ordering and required fields — all in Admin Settings without raising a support ticket.

Tips & Tricks:

  • Go to Admin → Opportunities to create custom fields that reflect your firm's pipeline vocabulary.

  • Mark key fields as required on the form to improve data quality, without blocking API or AI workflows.

  • Reorder fields to put the most important ones at the top of the Opportunity form.

Business Development

  • If Opportunity fields or statuses don't match your firm's pipeline, ask your Admin to update them — it's now self-service and takes minutes.

  • Look for reordered fields on the Opportunity form — your Admin may have moved the most important fields to the top to speed up data entry.

Admin

  • Go to Admin → Opportunities to create custom fields that reflect your firm's pipeline vocabulary — no support ticket needed.

  • Mark key fields as required on the form to improve data quality — applies to the form only, not API or AI-driven creation.

  • Add custom statuses that map to your firm's real pipeline stages — replace generic defaults with terminology your BD team uses.

Under the Hood

Workspace Task Editing by All Members

Any workspace team member can now edit tasks, not just the creator or assignee. Reduces blockers for large client teams.

Tips & Tricks:

  • For active client workspaces, remind your team that anyone can now update task details, statuses and notes with no need to ping the original creator.

Business Development

  • If a task in a client workspace needs updating, you no longer need to find the original creator — just edit it directly.

Support Staff

  • You can now update task statuses, notes and details in any workspace you're a member of — no need to chase the original creator.

Admin

  • This is on by default for all workspace members — if your firm prefers tighter task ownership, set expectations with teams accordingly.

Flexible Key Activity Participants

Key Activities can now be scoped to Companies, Contacts, or both — enabling internal-only team activities and company-level BD tracking.

Tips & Tricks:

  • Create internal planning activities (e.g. "BD Strategy Session") scoped to team members only — no contact needed.

  • Create a Company-only Key Activity for account-level relationship milestones that span multiple contacts.

Business Development

  • Create a Company-only Key Activity (e.g. "Account Review — Firm X") to log BD milestones spanning multiple contacts at that client.

  • Create internal planning activities (e.g. "BD Strategy Session") scoped to team members only — no external contact required.

Support Staff

  • When logging an internal meeting or preparation activity, you can now create a Key Activity without needing to attach an external contact.

Mobile, Imports & Engage Upgrades

Powerful Innovations

Nexl Mobile App — Revamped & AI-Powered

The mobile app received a major overhaul with AI-powered news feeds, a faster homepage, and a better business card scanner. This is the flagship feature to lead with in client communications.

Tips & Tricks:

  • Open the app and tap the News Feed — it's now personalised and AI-summarised. Use it before a client call for instant company intel.

  • At events, use the Enhanced Business Card Scanner — improved OCR means fewer correction loops after scanning.

  • If your firm has French-speaking users, switch the app language in Settings → Language. Multi-language is live from this release.

  • Tap any company profile on mobile to see the redesigned layout — key data is surfaced higher so you spend less time scrolling.

  • Access Contact Notes on the go by opening a contact record → Notes tab. No more switching to desktop for follow-up context.

Lawyers

  • Access Contact Notes directly from your phone: open a contact record → Notes tab. No more switching to desktop for follow-up context.

  • Tap any company profile to see the redesigned layout — key data is surfaced higher so you find what you need faster.

  • French-speaking colleagues can switch app language in Settings → Language.

Business Development

  • Use the AI-summarised News Feed before any prospect meeting — get quick company intel without leaving the app.

  • At events and conferences, use the Enhanced Business Card Scanner to capture new contacts instantly with fewer OCR errors.

Support Staff

  • Use the Business Card Scanner on behalf of partners at events — improved OCR means less post-event cleanup work.

  • Contact Notes are now accessible on mobile — add follow-up notes immediately after a meeting, on the go.

Quality of Life

Smarter Import & Export

AI-powered data transformation now normalises your data automatically during import, reducing errors before reaching your dataset.

Tips & Tricks:

  • Before importing a new contact list, run the AI Transform step — it standardises company types and formats automatically.

  • Use the new bulk find-and-replace to clean up inconsistent values (e.g. "Law Firm" vs "law firm") in one action.

  • Watch for the red inline validation alerts — fix errors in the import tool itself rather than reimporting.

Admin

  • Before any data import, run the AI Transform step — it standardises company types and formats automatically.

  • Watch for red inline validation alerts during import — fix errors in the tool rather than discovering them after the fact.

  • Use bulk find-and-replace to standardise inconsistent values (e.g. "Law Firm" vs "law firm") across the entire import in one action.

Support Staff

  • When running routine contact imports, use the AI Transform step first — it catches formatting issues that would otherwise need manual correction.

  • The spreadsheet-like interface lets you sort, search and bulk-edit data within the import tool before it hits Nexl.

Nexl Engage Enhancements

Export individual campaign analytics, improved spam-handling compliance, and faster load times for the Sent Campaigns page.

Tips & Tricks:

  • After each campaign, export the analytics CSV and drop it into Power BI via the new OData feed for deeper reporting.

  • Check the reclassified high-risk list during your next clean — you may be able to recover contacts previously written off.

  • Spam unsubscribes are now automatic — no manual list scrubbing needed for compliance.

Marketing

  • After each campaign, export the analytics CSV and connect to Power BI via the OData feed for richer reporting.

  • Check your reclassified high-risk contact list during your next clean — you may recover valuable contacts previously written off.

  • Spam unsubscribes are now handled automatically — no manual list scrubbing needed to maintain compliance.

Admin

  • Campaign analytics data is now exposed to the OData feed — work with IT to connect it to Power BI or your data lake.

  • Automatic spam unsubscribe handling reduces compliance risk — confirm with marketing that it aligns with your firm's consent processes.

Global Navigation Refresh

Cleaner, more compact navigation reduces visual noise so users can focus on their work — not the interface.

Tips & Tricks:

  • Walk users through the new nav layout in your next onboarding session — most items are in the same place with less visual clutter.

  • No features were moved, just visually tidied.

Lawyers

  • Navigation is cleaner but nothing has moved — your usual access points are all in the same place.

Business Development

  • The tidier nav means less visual clutter when working through your BD list — fewer distractions, same functionality.

Marketing

  • Update screenshots in any training decks or guides that show the navigation — the layout looks visually different even though nothing has moved.

Admin

  • Walk new users through the refreshed nav in onboarding — reassure them that all items are in the same place, just visually tidied.

Support Staff

  • If colleagues are confused by the new look, reassure them: no features were moved, it's a visual tidy-up only.

Outlook Add-in: AI Summary + French

The AI contact summary previously only on mobile is now available directly in the Outlook add-in. French language support also added.

Tips & Tricks:

  • When composing an email in Outlook, open the Nexl pane and check the AI Summary for the recipient before hitting send.

  • French-speaking users can switch language in the add-in settings panel.

Lawyers

  • When composing an email in Outlook, open the Nexl pane and check the AI Summary — get relationship context without leaving your inbox.

  • French-speaking lawyers can switch the add-in language in the settings panel.

Business Development

  • Use the AI Summary in Outlook before sending outreach emails — check recent interactions and relationship strength without opening Nexl separately.

Support Staff

  • When drafting correspondence on behalf of a partner, open the Nexl Outlook pane to check the AI Summary for the recipient first.

Under the Hood

Admins can now add Opportunities and Engagement tabs to Employee profiles, and employees are findable via the primary search bar.

Tips & Tricks:

  • Go to Admin → User Roles and add Opportunities/Engagement tabs to relevant custom roles.

  • Use the search bar to locate employees by name useful for larger firms or quick lookups during client meetings.
