How to Import and Archive Contacts as an Admin User

In this article, we will walk you through the process of importing and archiving contacts as an admin user. This feature allows you to easily import a list of contacts that you would like to archive. Please note that this feature is only available for admin users.

Follow the steps 1-4 below or skip to the video in the end to see a demo of how you can archive contacts via import

Step 1: Accessing the Import Section

To begin, log into your admin account and navigate to the import section in the admin UI. From here, select the "Contacts Import" option.

Step 2: Preparing Your Contact List File

Next, make sure you have a file containing the list of contacts you would like to archive. This file can be in any format, as long as it includes a column labeled "archive" or "Archive". This column will be used to identify which contacts should be archived.

Any contacts with a "Yes" value in the "archive" column will be archived, while any contacts with a "No" value will be left alone. Any other values will be highlighted as errors.

Here is a sample spreadsheet, you can use for the import: Archive Contact example.xlsx

Step 3: Matching Columns

Once you have your file ready, go ahead and select it in the import section. The system will suggest a match for the "archive" column, which you can select to ensure the correct column is being used for archiving.

After selecting the match, continue with the import process. The system will only look at the value in the "archive" column to determine which contacts should be archived.

Step 4: Finalising the Import

After the import is complete, you will see a list of valid and invalid values. Any contacts with a "Yes" value in the "archive" column will be archived, while any contacts with a "No" value will be left alone. Any other values will be highlighted as errors.

If you need to make any changes, you can go back and re-import the file. Otherwise, you can go ahead and save and finalize the import.

Viewing Your Imported Contacts

Once the import is complete, you can view your imported contacts in the "Contacts" section of your admin account. Any contacts that were successfully archived will now have an "Archived" status.

If you need to view all of your archived contacts, you can do so by navigating to the "Data Cleaner" section and selecting "Archived Contacts". Here, you will see a list of all contacts that have been archived through the import process.

FAQs

Can I archive contacts using Contact List import

No. The Archive Contact option is only available for Admins under Admin contact import option. It is not possible to archive contacts if you are importing a contact list in a workspace. This is to prevent accidental bulk archiving of contact.
