User roles and delegate accesses (proxies)

Introduction

Let's talk about user management.

User management across different tools and platforms can be a real pain, but in Nexl, we made this really easy. The way we manage to do that is because Nexl is integrated with your existing IT infrastructure.
​
We use the same Office 365 or Google accounts and the same credentials. So Nexl users don't need any additional accounts or passwords. Whenever someone joins or leaves the firm, access to Nexl will be automatically granted, or revoked, as soon as your Active Directory is updated. That makes User Management a breeze and also means it will not require any maintenance from your IT team.

User Roles

Currently, Nexl features four user roles: Individual, Manager, and Admin users, and a Restricted user role.

Individual Role

The individual User role was created for most of the lawyers of the firm that don't have any specific leadership roles or responsibilities in terms of Marketing and Business Development.

The navigation menu as displayed here is what individual users will get to see.
​
Individual users can manage their own contacts and companies, those contacts and related companies with whom they have personally engaged. Under "My Contacts" and "My companies" they get to see every person and related company with whom they have exchanged emails or booked a meeting.
​
Individual users will also be able to manage their own productivity and BD tools, such as tasks, meetings and projects, and have access to the prospects and opportunities where they are personally involved.

Under the firm-wide section, individual users can access all Companies, even if they have not engaged with someone from that company. They can also view the Firm's Marketing lists, but not manage them.

Admin Role

Admin users, on the other hand, have access to a number of additional features in the firm-wide section of the menu.
​
Admin users get to see all contacts across the firm, not just those they have engaged with personally. They can also access All Prospects, All Opportunities, All Objectives and the Referrals function, if activated.

Furthermore, Admin users will see an additional Admin link on top of the page, from where they can access a range of admin functionalities we will cover in this course.

Admin users, on the other hand, have access to a number of additional features in the firm-wide section of the menu.
​
Admin users get to see all contacts across the firm, not just those they have engaged with personally. They can also access All Prospects, All Opportunities, All Objectives and the Referrals function, if activated.

Furthermore, Admin users will see an additional Admin link on top of the page, from where they can access a range of admin functionalities we will cover in this course.

Manager Role

Our third user role, the Manager user, is a hybrid user role that gives users access to the additional options in the navigation menu under "Firmwide", but not to the Admin features in the top menu.

Restricted Role

Our fourth user role is a restricted profile that will hide all contact details for contacts on the system.

Support Role

Our fifth user role is the support role which is similar to the Individual role, with the additional below modules hidden:

  • My Contacts

  • My Companies

  • Meetings

  • Stay in Touch

  • Prospecting

  • Opportunities

Delegate Accesses (Proxies)

From the user manager, you are also able to create delegate accesses for any user on the system.

To set up Delegate access, select the account for whom you would like to create the delegate access, click on the show button, and then on the Delegate Access button.
​
From there, click on the green "new delegate access button", and select the person on whose behalf the user will be able to log in from the drop-down menu. Please note that this user needs to exist on the system already.

Once you have set up the Delegate Access, the user for whom you have created the Delegate Access will see a colored bar on top of their nexl page. In this section, you will see with which account you are currently logged in, and a link that says "switch account".
When you click through, you will get to a dedicated page where the user will see all the other users for which Delegate accesses have been set up. Every user can be given a dedicated color for ease of use. With this function, it becomes easy to switch from one account to the other.

Delegate access can be useful for instance for a personal assistant, who can then log on behalf of a specific lawyer.
