Guide for working with Key Activities on Nexl

Key Activities in Nexl allows you to plan, track, and collaborate on client engagement work such as Business Development, Marketing and Lead activities. It supports both past and future activities, allows teams to organize Activities into Activity Lists, visualize them in the Calendar View, and collaborate through comments and mentions.

Together, this gives teams a shared, structured way to plan, coordinate, and manage their client engagement activities in one place.


1. View and Creating Key Activities on a Contact

You can view Key Activities associated to a contact on the Contact Activity feed by filtering by Key Activities. You can also log and view key activities scheduled for future dates—not just those already completed.


This allows forward planning for upcoming business development or marketing events.

How to Log an Activity

  1. Navigate to the contact's Activity Feed.

  2. Click Log Activity.

  3. Enter details including:

    • Activity

    • Type (Business Development, Lead, Marketing)

    • Description

    • Staff Involved

    • Date and Time & End Date and Time — including future dates

  4. Click Save.

If the activity is created in a past time it will show under Past Activities. If it's created in the future, once saved, the activity will appear under Upcoming. When completed, it automatically moves to Past Activities.


You can also edit activity details at any time (e.g., change the date or description).

Filter Options

Use the filter menu to quickly switch between:

  • All Time

  • Upcoming

  • Past

This gives you full control to focus on what’s next or review completed work.


2. Calendar View for Key Activities

The Nexl Calendar provides a comprehensive, all-in-one view of your External Meetings, Tasks, and Key Activities — making it a powerful planning and project management tool for lawyers and BD teams.

You can now:

  • See all key activities, tasks, and external meetings in one calendar.

  • Filter what you see — toggle on or off any of these categories for a clearer focus.

    • For example, you can hide external meetings to only view internal BD activities, or show tasks and key activities together to manage workloads.

This helps teams:

  • Plan ahead — visualize upcoming marketing and BD activities as part of quarterly or annual business plans.

  • Reflect back — review previously completed activities to analyze progress and engagement.

  • Manage efficiently — track what’s happening, who’s involved, and when.

NOTE: If an upcoming meeting is converted to a key activity and then the meeting is rescheduled, at this time, the converted key activity time will not be automatically updated to the rescheduled time


Flexible Calendar Views

You can switch seamlessly between different calendar layouts, depending on how you prefer to visualize your activities:

  • Month View – See a high-level overview of all activities across the month.

  • Work Week View – Focus on your working days for a more concise view.

  • Week View – Include weekends for conferences or extended sessions.

  • Day View – See detailed daily activity breakdowns.

  • Agenda View – View your list of meetings, tasks, and key activities in chronological order.

This flexibility allows you to adjust how you review and plan your schedule — from top-level summaries to granular daily planning.


Interactive Sliders for Activities and Tasks

Clicking on any activity or task now opens a slider panel on the side of your screen.


From here, you can easily view:

  • Participants (staff and contacts involved)

  • Notes or descriptions

  • Key details such as time, type, and related company or matter

This improvement provides a smoother, more visual way to navigate and manage your BD and marketing workloads.


Visual and Functional Enhancements

  • Color-coded calendar items make it easy to distinguish between activity types.

  • Filters help you focus on what matters most at a given time.

  • No date restrictions — you can freely move backward or forward in time to review past efforts or plan upcoming initiatives.

These updates make the Nexl Calendar a central hub for business development tracking, planning, and execution.


3. Activity Lists

The Activity List feature lets you organize related activities in a workspace—ideal for:

  • Conferences or business trips

  • Marketing campaigns

  • Quarterly business plans

  • Sector or client-specific initiatives

Creating an Activity List

  1. Go to your Workspace.

  2. Click Create New Activity List.

  3. Name your list (e.g., IBA 2024 Activity Planning).

  4. Add individual activities, defining start and end times, description, and staff involved.

You can also:

  • Hide or show columns (e.g., Contact Involvement) for a cleaner view.

  • Add activities directly from your Calendar View or Contact Page.

  • Use the Timeline View to visualize scheduling overlaps or activity density by day or week.

Timeline View

The Timeline View offers a visual representation of your meetings and activities across days or weeks—perfect for events, trips, or busy BD periods.

Use it to:

  • Identify scheduling conflicts

  • Adjust meeting times

  • See who’s involved at a glance

  • Get a full overview of BD and marketing plans


4. Restricted Activity View by User Role

Administrators can now set restricted visibility for specific user roles.

  • Users with restricted access cannot view meeting or email participants unless they’re part of the activity.

  • They can still view custom key activities relevant to them.

  • Admins always have full visibility across all activities.

This ensures confidentiality while maintaining collaboration efficiency. To manage the permission, go to User Management -> Roles -> Check or uncheck the role for View Contact Activities


5. Enhanced Bulk Actions

You can now perform bulk actions on contacts to log activities, with improved flexibility and visibility.

Steps to Bulk Log a New Activity

  1. Select the contacts.

  2. Click Log New Activity.

  3. Fill in the required fields:

    • Date and Time

    • End Date and Time

    • Type

    • Activity Description

    • Staff Involved

    • Notes

  4. Click Save.

Bulk activities are instantly created for all selected contacts.


6. Key Activities on the Nexl Mobile App

On the Nexl Mobile App, the Dashboard shows:

  • Key Activities logged for the current day

  • Tasks due today

This ensures users can view Key Activities for the day even when on the move.


7. Key Activities Dashboard

You can view all Key Activities by going to Key Activities under Pipeline. We’ve introduced several updates to make managing Key Activities more efficient and data-driven:

  • Large List View (removed 10,000-row limit)

  • Added columns for:

    • Company Involved

    • Created At

    • Created By

  • Improved filters for easier segmentation and reporting


8. Comments and Mentions in Key Activities

You can now collaborate directly within Key Activities using comments and @mentions.

How to Use

  • Click Add a Comment under a Key Activity.

  • Use @mention to tag team members.

  • Edit or delete comments anytime — with clear edit/delete indicators.

Notification Rules

  • Notifications are sent to the creator, mentioned users, and previous commenters.

  • Email notifications are batched hourly to reduce inbox clutter.


9. Key Activities via the API

You can create Key Activities in bulk using our CreateKeyActivities API endpoint allowing seamless integrations with tools such as Concep or HubSpot
