How to set up automated notifications for form submissions

📝 Overview: What’s New?

Nexl now supports automated notifications triggered by form submissions. This feature allows you to keep stakeholders instantly informed when specific forms are submitted within a workspace.


⚙️ How to Enable Notification Workflows

  1. Open Your Form:

    • Navigate to the form within your workspace.

  2. Go to Settings:

    • In the form settings, you’ll find an option to configure Workflows.

  3. Add a “Form Submission” Workflow:

    • Choose the workflow type for Send Notifications.

  4. Select Recipients:

    • You can select any Nexl users as recipients.

    • Multiple users can be added.

    • Notifications are only sent to users with Nexl accounts.


📩 What the Notification Includes

  • Email Content:

    • Full details of the form submission.

    • A link to the associated workspace or list.

    • Clicking the link takes users directly to the list (access-permitting).

  • In-App and Push Notifications:

    • A short message like “You have received a new notification. Click here to view.”

    • Does not include full content—just a prompt to check the email.


🧠 Advanced Options

Conditional Notifications

You can add conditions to the workflow:

  • Example: Send a notification only if “RSVP = Yes”.

  • This adds flexibility for tailored alerts.

🚧 Important Caveats

  1. Only Nexl Users Supported:

    • You cannot notify external users or unverified emails.

    • Example workaround: Use a shared mailbox in Outlook + forwarding rules.

  2. Access Permissions Apply:

    • Users must have access to the list to view the linked workspace.

    • Email still contains the full form content, regardless of access.

  3. MagicBell Opt-in for New Users:

    • New users may have notifications disabled by default in Nexl.

    • Users must manually enable notifications to receive them.

  4. Cloned forms will automatically inherit the send notifications form workflow

    • When forms are cloned, send notifications form workflow will automatically be cloned as well


🛠️ Troubleshooting Tips

  • Not Receiving Notifications? Check:

    • Is the user a Nexl user?

    • Are they selected in the workflow?

    • Is notifications for the channel disabled for the user?

  • Email Not Arriving? Confirm:

    • Inbox filters or spam settings.

    • Shared mailbox forwarding rules if using a workaround.

    • If the notification is opened in-app or web-app or mobile app, the email notification will not be sent
