While Nexl automatically captures and enriches contacts and companies using external data providers, challenges like missing data, irrelevant records, or duplicates can still arise.
The Data Cleaner streamlines your data management process, helping you efficiently review and clean your records.
Note: The Data Cleaner is only accessible to admin users.
Incomplete
The Incomplete section surfaces records missing essential details like name, job title, or location. Admin users can enrich data efficiently by focusing on priority contacts.
How to Use:
View missing data points for each record, along with creation and interaction dates.
Take action using options in the Action column:
Ignore: Remove the record from the list.
Edit: Add missing details via a pop-up window.
Archive: Move the record to archives.
Tips for Efficiency:
Prioritize key contacts by sorting the list by Last Interaction or Number of Interactions.
Focus on high-priority records for maximum impact.
Incomplete Contacts: Advanced Filters
The Advanced Filters feature allows admin users to interrogate their contact and company data deeply. It provides powerful filtering capabilities that enable efficient analysis and bulk actions for data management.
Key Features:
Customizable Filters:
Search and sort contacts or companies based on:Interaction frequency (e.g., most active vs. least active contacts).
Missing data points (e.g., job title or location).
Creation date, last interaction date, or other custom parameters.
Granular Insights:
Generate lists of contacts or companies that meet specific criteria, such as:Contacts with no recent communication.
Companies with multiple associated domains.
Bulk Actions for Efficiency:
After filtering, take action on multiple records simultaneously:Archive, restore, or delete records in bulk.
Update contact location and contact office location fields for selected records with a single action.
Incomplete Contacts: Saved Searches
The Saved Searches feature allows users to save filtered results for easy access later. Saved searches are displayed as tabs, similar to the "All Contacts" tab, providing quick navigation for recurring data needs.
How to Use Saved Searches:
Create a New View
Click the + icon to the right of the last tab to create a new search
Assign a name to the saved search for quick identification.
Set Filters
Apply custom filters in the Advanced Filters section (e.g., contacts where “City” has no value)
With Saved Searches, admins can streamline their workflows and ensure consistent focus on critical data segments.
Archive
The Archived section helps you manage bounced, unengaged, and manually archived records. Access the Data Cleaner via the Admin menu at the top of the application.
Bounced Contacts
Nexl identifies bounced contacts through email integration, flagging email addresses that no longer exist (e.g., due to employees leaving their company).
For relevant contacts, review their LinkedIn profile to update details. You can:
See the last interaction date and creation date of the contact.
Delete irrelevant contacts using the recycle bin icon.
Unengaged Contacts
This list highlights contacts with no interactions in over a year.
Use this list to:
Re-engage important contacts via email.
Delete redundant records easily.
Manual Archive
Displays all manually archived or deleted records, divided into Contacts and Companies.
Actions available:
Restore records to reactivate them.
Block companies to prevent Nexl from capturing further data about them.
Lists can be sorted by creation date (old to new, or new to old) for easy navigation.
Duplicate
The Duplicate section allows you to merge duplicate records for contacts and companies.
How Nexl Prevents Duplicates:
Nexl uses unique identifiers (email for contacts and domain for companies).
While duplicates are rare, they may occur if:
A contact has multiple email addresses (e.g., an outdated one from a previous role).
Resolving Duplicates:
Duplicate Contacts:
Merge records to consolidate memberships, activities, and notes.
Archive outdated details.
Duplicate Companies:
Merge companies with similar but distinct domains (e.g., subdomains).
Combined companies retain contacts, but redundant records (notes, interactions, etc.) are permanently removed.
Caution: Merging companies is irreversible. Proceed carefully.
