A campaign's Recipient List field accepts one list. Instead of sending the same campaign three times to three lists, create a Dynamic Marketing List whose filter is "is a member of List A, or List B, or List C", and send the campaign to that.
Because a dynamic list is a saved set of rules rather than a fixed set of people, it stays current on its own — and anyone who sits on two of your source lists is only counted once, so nobody gets the email twice.
Before you start
You'll need permission to create marketing lists and to edit campaigns. Dynamic Marketing Lists are created from the main Marketing Lists page, not from inside a Workspace — but once created they're available everywhere, including Workspace campaigns. |
Step by step
Create the Dynamic List
Go to Marketing Lists and click Create Dynamic List. You'll land on an All Contacts–style screen where you can build the audience with filters.
Name it and create it
Give the list a clear name and choose a category, then click Create. Name it for the audience rather than the campaign — "Corporate & Banking — AU and NZ" will still make sense next quarter, where "October newsletter" won't.
Combine your lists with a filter
Example 1: List Membership
Add a filter that pulls in the contacts you want. List Membership is a common choice. Pick it and select your first list, then add a second List Membership condition for your next list. Repeat for each list you want to include.
Example 2: Practice Preferences
OR, or AND
Use OR to include everyone who is on any of the lists. AND narrows it to the few people who are on every list at once. That's usually a much smaller audience than you meant, and it's an easy mistake to make.
Check the count before you save
The screen shows how many contacts currently match. Sense-check it against what you'd expect from the lists you've combined — if it looks too small, you've probably used AND instead of OR.
You can keep narrowing from here. Any other filter you add applies on top: practice area, office, marketing preference, and so on.
Select it as your campaign's recipient list
Open your campaign and go to the Recipient List section. Start typing in the Search for a list field — dynamic lists appear alongside static ones. Select yours and the recipient list updates straight away.
Review the amber banner and clean the list
As soon as you pick a dynamic list, an amber banner appears beneath the field reading "You're sending this campaign to a Dynamic Marketing List." This is informational — it is not an error, and it appears every time.
From the banner you can:
View List — opens the dynamic list in a new tab so you can eyeball who's in it.
Clean List — runs the List Cleaner over the audience. Choose Verify All to check every address, or Skip to carry on without verifying.
High-risk addresses are automatically left out of the send either way. They stay on the list — they're simply skipped when the campaign goes out.
That's it
Schedule and send as normal. One campaign, one set of analytics, every list covered.
What to expect from a dynamic list in a campaign
| Static list | Dynamic list |
Who receives it | The people on the list when you selected it | Whoever matches the filters at the time you schedule the campaign |
Banner colour | Green once cleaned | Always amber — membership can change at any time, so it can't be marked "last cleaned" |
Extra campaign filters | Can be applied | Can be applied, on top of the list's own rules |
Keeping it current | You add and remove people yourself | Updates itself as contact data changes — no refresh or re-sync step |
Finalise the rules before you schedule
The audience is worked out when the campaign is scheduled. If you change the filters after that, you may not get the audience you reviewed — so settle the list first, then schedule.
Good to know
You can't add or remove one person from a dynamic list by hand. To change who's included, change the filters — or update that contact's details so they match (or stop matching) the rules.
If you need exact, manual control over a one-off audience — an event invitation, say — a static list is still the better tool.
Dynamic list membership doesn't appear on the Contact Profile. Static list membership still shows under Marketing Settings.
Preference Lists behave the same way in a campaign: same amber banner, same cleaner.
Frequently asked questions
Will someone on two of my lists get the email twice?
Will someone on two of my lists get the email twice?
No. The dynamic list is a single list of contacts who match the rules, so each person appears once no matter how many of your source lists they're on.
Do I have to rebuild the dynamic list before each send?
Do I have to rebuild the dynamic list before each send?
No. It resolves itself every time you schedule a campaign. If somebody joined one of the underlying lists yesterday, they're included today without you touching anything.
What if I add a fourth list later?
What if I add a fourth list later?
Open the dynamic list, click Edit List, add another List Membership condition joined with OR, and save. Changes apply immediately — there's no separate refresh. Every future campaign using that list picks up the new audience automatically.
Why is the banner amber when my list is clean?
Why is the banner amber when my list is clean?
Dynamic lists always show amber. Because a new contact could match the filters at any moment, the system can't meaningfully say the list was "last cleaned". It isn't flagging a problem with your list.
Can I create a Dynamic Marketing List inside a Workspace?
Can I create a Dynamic Marketing List inside a Workspace?
No — create it from the main Marketing Lists page. Dynamic lists are global, so they'll still appear in the recipient list picker when you're working in a Workspace campaign.
Can I still narrow the audience for one particular send?
Can I still narrow the audience for one particular send?
Yes. Filters applied on the campaign itself work on top of the dynamic list's rules, so you can use the same list and tighten the audience for a single campaign without editing the list.
